1.1 Add Preventive Maintenance Scheduler​

Add a Preventive Maintenance Scheduler – Step-by-Step

Step 1: Access the Preventive Maintenance Scheduler Screen​

From the side menu, navigate to:
Maintenance β†’ Master β†’ Preventive Maintenance Scheduler. This opens the Preventive Maintenance Scheduler screen.

Step 2: Fill in Asset or Machine Details​

  • Maintenance Question Type [Dropdown] (Mandatory)
    Select the type of maintenance object: Machine (default) or Asset. Values are sourced from the Master Category.

  • Select Machine [Dropdown, multi-select] (Mandatory)
    Appears only if Maintenance Question Type is set to Machine. Select one or more machines from the list of active machines.

  • Selected Machines [Display] {Auto Fetch}
    Shows the machines chosen in Select Machine as chips.

  • Select Asset [Dropdown, multi-select] (Mandatory)
    Appears only if Maintenance Question Type is set to Asset. Select one or more assets from the Asset master.

  • Selected Asset [Display] {Auto Fetch}
    Shows the assets chosen in Select Asset as chips.

  • Select Maintenance Type [Dropdown] (Mandatory)
    Values come from the Maintenance Type list in Master Category. Only Quarterly, Half Yearly and Yearly can be selected; other maintenance types are listed but disabled.

  • Select Planned Date [Date] (Mandatory)
    The date of the first planned maintenance. Defaults to the current date. The financial year of the schedule is taken from this date.

Step 3: Generate or Clear the Preventive Maintenance Schedule​

  • Generate – Enabled only when Maintenance Question Type, Select Maintenance Type and Select Planned Date are filled and at least one machine (or asset) is selected. Clicking Generate builds the planned schedule and shows it in the table below. Starting from the Planned Date, a plan row is created every 3 months for Quarterly, every 6 months for Half Yearly and every 12 months for Yearly, up to the end of the financial year (31 March), for each selected machine or asset. Nothing is saved until Confirm is clicked.
  • Clear – Resets all entered values (the Maintenance Question Type is kept) and hides the schedule table.

The message "If you have modified the details, please click 'Generate' to apply the changes." is shown next to the buttons. After changing any field, click Generate again to rebuild the schedule table.

Step 4: Preventive Maintenance Scheduler – Maintenance Schedule Table​

After clicking the Generate button, the Maintenance Schedule table displays:

Select PlanCheckbox, ticked by default. Only ticked rows are saved when Confirm is clicked. Untick a row to leave that plan out.
Machine / AssetThe machine name (when Maintenance Question Type is Machine) or asset name (when it is Asset). The header has a filter icon; see below.
Maintenance TypeThe maintenance type of the plan (Quarterly, Half Yearly or Yearly). The header has a filter icon.
Financial YearThe financial year that the plan belongs to. The header has a filter icon.
Planned DateThe planned maintenance date. Can be changed with the date picker before confirming.

Filtering the Maintenance Schedule table (Select All): Click the filter icon in the Machine / Asset, Maintenance Type or Financial Year column header to open a checkbox list of the values in that column. Tick or untick individual values to show or hide matching rows, or use Select All at the top of the list to select or clear all values at once. The list closes when the mouse leaves the column header.

Maintenance Type Select AllShows or hides rows by maintenance type. Select All ticks or clears every maintenance type in the list.
Financial Year Select AllShows or hides rows by financial year. Select All ticks or clears every financial year in the list.

Additional Notes:

  • Plans that already exist for the same machine/asset, maintenance type and month in the financial year are not generated again. Existing plans are shown at the top of the table and highlighted in red, and the message "* Maintenance planning already exists for the selected financial year" is shown below the table.
  • Only rows that are visible after filtering and have Select Plan ticked are saved when you click Confirm.
  • Unsaved changes are lost if you leave the page before clicking Confirm.
  • Saved machine maintenance plans can be removed from the Machine Master screen, under the Machine Maintenance section.

Step 5: Confirm the Schedule​

Once you've reviewed and finalized the rows in the schedule table:

  • Click the Confirm button to save the selected schedule entries.
  • On success, the message "Preventive Maintenance Plan Added Successfully" is shown and the page reloads. If saving fails, the message "Preventive Maintenance Plan Add Failed." is shown.
