Invoice Report

INVOICE REPORT​

Prerequisites​

Before generating the report, ensure the related invoice and status information is updated:

  • Customer and plant details
  • Invoice date and invoice number
  • Sales type: Domestic or Export
  • Invoice type: Tool, Non Tool, Job, or Others
  • Payment terms
  • Invoice status updates such as dispatch, invoice sent to customer accounts, payment received, IGST/LUT, and duty drawback

1.1 Search Invoice Report​

Step 1: Access the Report Section

From the main side menu, navigate to:

Sales -> Reports -> Invoice Report

This opens the Invoice Report search screen.

Step 2: Apply Search Filters

The following filters are available:

Invoice Date FromStarting invoice date for the report. This is a mandatory field.
Invoice Date ToEnding invoice date for the report. This is a mandatory field.
CustomerMulti-select dropdown to choose one or more customers.
PlantMulti-select dropdown to choose one or more plants.
Sales TypeSelect Domestic or Export.
Invoice TypeSelect Tool, Non Tool, Job, or Others.

By default, the report date range is set from the first day of the current financial year to the current date.

Step 3: Generate the Report

  • Click Search to fetch matching invoice records.
  • Click Clear to reset the filters and start a new search.

If no matching records are found, the application displays an information message.


1.2 View Report Results​

After clicking Search, the matching invoices are displayed in a table. The table supports keyword search, sorting, pagination, Excel export, print, and custom Excel export.

The main columns include:

Serial NoAuto-generated row number in the report.
CustomerCustomer associated with the invoice.
Plant NamePlant linked to the invoice.
Sales Order DetailsSales order number, revision, and PO date details linked with the invoice.
Payment TermsPayment terms configured for the invoice.
Sales TypeShows whether the invoice is Domestic or Export.
Invoice TypeShows Tool, Non Tool, Job, or Others.
Invoice NoInvoice serial number.
Invoice DateDate when the invoice was generated.
Total Value Without TaxInvoice value before tax.
CGST %, SGST %, IGST %GST percentages applied on the invoice.
Total Value With TaxInvoice value including applicable tax.
Due DateCalculated from Ship on Board date plus payment terms. Displays NA when required details are unavailable.
CurrencyInvoice currency.
Invoice Aggregate StatusOverall invoice status.

The report also includes grouped follow-up status columns:

Rows may highlight overdue status values in red when the invoice is not closed and the related status is overdue.


1.3 Export and Print Options​

At the top of the report table, the following options are available:

  • Custom Excel Export: Select specific columns to include in the Excel file. This option is available for the Invoice Report.
  • Excel: Export the visible report data to Excel.
  • Print: Generate a print-friendly version of the report.

Notes​

  • Cancelled and deleted invoices are excluded from the report.
  • The report includes approved, closed, and applicable active invoice records.
  • Due Date depends on the Ship on Board date and payment terms.
  • Export-related fields such as IGST/LUT and duty drawback are populated from invoice status updates.
  • Use the table search box to quickly filter records by customer, invoice number, plant, status, or any visible keyword.
