Notifications
NOTIFICATIONS
Menu path: GRN -> Operations -> Notifications
The Notifications screen is a live dashboard of every inward record (Purchase Inward, Customer Job Work Out In, Returnable DC In, Miscellaneous Inward and Internal Material Inward) that is still Open or Partially Inspected, so you can see at a glance what's waiting for GRN Inspection and jump straight into inspecting it.
1.1 Reach the Notifications Screen
Step 1: From the main Side menu, click on "GRN," then go to "Operations," and finally choose "Notifications." This will open the Notifications screen.
1.2 Summary Cards
At the top of the screen, three summary cards give an overview of the pending workload:
- High Priority: [Card] The number of pending notifications currently in the High priority band.
- Pending Today: [Card] The number of pending notifications that were raised today (0 days pending).
- Total Notifications: [Card] The total number of pending notifications across all types.
1.3 View the Notifications List
Below the summary cards, the list header reads Pending Inspections normally, or Search Results (N) while a search term is entered. If nothing matches, the screen shows No Notifications Found (or No Results Found when a search returns nothing), with a hint to try a different keyword or adjust the selected filters.
Each notification is shown as a card with:
- GRN / DC Number: The inward document's number, shown as the card title.
- Inspection Status badge: Shows the line's inspection status — OPEN or PARTIALLY INSPECTED — colour-coded so the state is visible at a glance (records that are already fully inspected/closed no longer appear on this screen).
- Priority badge: Shows HIGH, MEDIUM or LOW, colour-coded to match. Priority is derived from how many days the record has been pending, using the day-count bands described under 1.5 Filter Notifications below.
- Days Pending badge: Shows Today when the record was raised today, otherwise N Days Pending.
- Type: The inward type the record belongs to — Purchase Inward, Customer Job Work Out In, Returnable DC In, Miscellaneous Inward or Internal Material Inward.
- Supplier / Plant / Customer: The vendor associated with the record. The label changes to Supplier, Plant or Customer depending on the record's vendor type.
- Start Inspection: [Button] Click this to open the GRN Inspection screen with this record's inward type and number already selected, so you can begin (or continue) inspecting it straight away.
The list is always sorted with the longest-pending records first (most Days Pending at the top).
1.4 Search Notifications
- Use the Search notifications... box at the top-right to filter the list by GRN / DC Number or Supplier / Customer name. The list, the summary cards' counts, and the Type/Priority/Status filter counts update to reflect only the matching records as you type.
1.5 Filter Notifications
Click the Filter button to open the filter panel, which has three sections. Each section shows a live count of matching notifications next to every option, and a Select All / Unselect All toggle at the top of the section to check or clear every option in it at once:
- Type: Purchase Inward, Customer Job Work Out In, Returnable DC In, Miscellaneous Inward, Internal Material Inward.
- Priority: High, Medium, Low. A record's priority is decided by how many days it has been pending: by default, 0–4 days is Low, 5–10 days is Medium, and 11 or more days is High. These day thresholds can be changed in Organisation Details.
- Status: Open, Partially Inspected.
Only records matching at least one checked option in every section (and the search term, if any) are shown in the list. Clicking anywhere outside the filter panel closes it.
1.6 Export Notifications
- Click Export Excel to download the currently filtered/searched list as an Excel file. The sheet opens with three highlighted summary boxes — High Priority, Pending Today and Total — followed by a table with columns S No, Type, GRN / DC No, Vendor Type, Supplier / Customer, Status, Priority and Days Pending.
1.7 Pagination
- Rows per page: [Dropdown] Choose how many notifications to display per page — 3, 5, 10, 20 or 50.
- Use the pagination arrows to move between pages: the double-left arrow jumps to the first page, the single-left arrow moves to the previous page, the single-right arrow moves to the next page, and the double-right arrow jumps to the last page. The current position is shown as Page X of Y.
- Below the list, Showing X to Y of Z entries shows the range of records on the current page out of the total that match the current search/filter. When the search or filters are narrowing the list, this also shows (filtered from N total entries), where N is the total before filtering.
That's it! You've learned how to view, search, filter and act on Notifications using the DMeX app. If you need help, contact the support team.
