Payment Advice
PAYMENT ADVICE​
To go back to the Search screen, click Payment Advice next to Welcome at the top-right corner of the page.
1.1 Access Payment Advice​
Access Payment Advice Step-By-Step
Step 1: Reach the Payment Advice Section:
- From the main Side menu, click on "Accounts", then go to "Operations", and finally choose "Payment Advice". This opens the Payment Advice Search page.
1.2 Search Payment Advice​
Search Payment Advice Step-By-Step
Step 1: Start Searching
On the Search page, you can search using the following filters:
- Supplier: [Dropdown] Select one supplier.
- Document No: [Text Field] Enter the document number.
- Payment From Date: [Date Field] Select the start date.
- Payment To Date: [Date Field] Select the end date.
Step 2: Search and Clear Actions
- Click Search to fetch payment advice records using selected filters.
- Click Clear to reset form fields, selected suppliers, selected PDF supplier values, and loaded result data.
Step 3: See the Results
After clicking Search, matching records are displayed in a table with:
- S.No
- View/Edit
- Select Supplier
- Generate
- Supplier Names
- Document No
- Paid Amount
- Payment Date
Result-level actions:
- View/Edit: Opens the selected Payment Advice in edit mode.
- Select Supplier: Dropdown shows suppliers mapped for that record.
Note:
- A PDF can be generated only after selecting a supplier from the row-level dropdown.
- The Download PDF button remains disabled until a supplier is selected.
- Generate: Downloads Payment Advice PDF for the selected supplier and advice record.
1.3 Edit Payment Advice​
Edit Payment Advice Step-By-Step
Step 1: Open Edit Screen
- In search results, click View/Edit for a record.
Step 2: View Header Fields
The following fields are displayed in edit screen:
- Document No: [Read Only Field]
- Payment Date: [Editable Field]
- The Payment Date field is used to capture the actual date on which the payment was made. Users can enter or update the payment date as required.
- If the payment is processed after the Payment Advice has been created, users can edit the Payment Date and save the updated information. After updating the record, users can regenerate the Payment Advice PDF to ensure the document reflects the latest payment details.
- The updated Payment Advice document can then be downloaded and shared with suppliers or other stakeholders for reference.
- Debit Bank: [Read Only Field]
- Payment Mode: [Read Only Field]
- Reference No / Cheque No: [Read Only Field] (shown only when value exists)
Reference field label behavior:
- If payment mode is
CHQ, label is Cheque No. - For other payment modes, label is Reference No.
Step 3: Payment List in Edit Screen
Table columns shown:
- S No
- Supplier Name
- Beneficiary Account No
- GRN Invoice No
- GRN Invoice Date
- Paid Amount
Additional display:
- Total Paid Amount is shown as summary row.
- Table-level Search filter is available.
Step 4: Update
- Click Update to submit changes.
- After returning to the search page, the updated record can be selected again and the PDF can be generated again from the latest saved data.
