Maintenance Entry

To go back to the Search screen, click Maintenance Entry next to Welcome at the top-right corner of the page.
1.1 Add Maintenance Entryβ
Add a Maintenance Entry β Step-by-Step
Step 1: Access the Maintenance Entry Screenβ
From the side menu, navigate to:
Maintenance β Operations β Maintenance Entry. This opens the Maintenance Entry Search page.
Step 2: Add Maintenance Entryβ
Click the "Add Maintenance Entry" button on the top-right corner of the screen to open the entry form.
Step 3: Fill in Maintenance Entry Detailsβ
- Maintenance Question Type
[Dropdown, Mandatory]
Select from options like Machine (default) or Asset. Values are sourced from the Master Category.
- If Machine is selected, the Machine dropdown appears.
- If Asset is selected, the Asset dropdown appears.
- Maintenance Type
[Dropdown](Mandatory) β Values are populated from the Master Category. - Machine
[Dropdown](Mandatory) β Appears only when 'Machine' is selected. - Assets
[Dropdown](Mandatory) β Appears only when 'Asset' is selected. - Maintenance Date
[Date](Mandatory) β Defaults to the current date. You can modify it. - Last Maintenance Date
[Text Field](Optional) β Auto-fetched from the system. - Preventive Maintenance
[Dropdown]- For Daily, Weekly, or Monthly: Mandatory selection.
- For Yearly, Half-Yearly, or Quarterly:
- If dates are present: Mandatory
- If dates are not present: Optional
- Remarks
[Text Field](Mandatory) β Up to 100 characters. - Spares Entry Notes
[Text Area](Mandatory) β Up to 2000 characters. - File Upload
[File](Optional) β Upload related maintenance files.
- When a Maintenance Type and a Machine or Asset are selected, the Maintenance Check Sheet table appears and must be completed. If a Machine or Asset is chosen before the Maintenance Type, the message "Please select the maintenance type" is shown.
Maintenance Entry β Maintenance Check Sheet Tableβ
The Maintenance Check Sheet lists the active maintenance questions set up in Maintenance β Master β Maintenance Questions for the selected Maintenance Type and for the selected machine's Machine Type (or the selected asset's Asset Sub Category). If no questions exist, the message "No maintenance question found for the selected type and machine" is shown.

| S.No | Row number. |
| Unit | The maintenance unit of the question (from the Maintenance Unit list in Master Category). |
| Description | The maintenance check description (the question text). |
| Norms | The expected standard for the check, as entered in the Maintenance Question. |
| Status | Where the result of the check is recorded. The input depends on the question's Validation Type (see below). |
How to fill the Status column of the Maintenance Check Sheet:
- Button type questions β Click Ok if the check passed or Not Ok if it failed. Clicking Ok turns the row green; clicking Not Ok turns the row red.
- Number type questions β Enter the measured value. If the value is outside the question's minimum and maximum, the row turns red and the warning "Value should be between the minimum and maximum value" is shown; a value within range turns the row green.
- Dropdown type questions β Select a value from Select Status Value. A value marked as accepted in the Maintenance Question turns the row green; any other value turns it red.
Rows for questions that are not mandatory for the selected machine/asset are shown in light blue. A question is mandatory for a machine or asset only when it is marked as required and that machine or asset is listed in the question's Required Machines / Required Assets.
When you click Submit, if any mandatory question for the selected machine is left blank or is red (for example marked Not Ok or out of range), the alert "Please enter the correct value" is shown and the Maintenance Entry is not saved. When the entry is saved, the message "Maintenance Sheet Checked" is shown.
When a saved Maintenance Entry is opened with View/Edit, the Status column shows the recorded result as text (OK, NOT OK, the selected dropdown value or the number entered, or NA when no result was recorded) and cannot be changed.
Step 4: Save, Clear, or Cancelβ
- Submit β Saves the data and finalizes the entry.
- Clear β Clears all entered values.
- Cancel β Returns to the search page without saving.

Step 1: Apply Search Filtersβ
- Maintenance Question Type
[Dropdown](Mandatory) β Choose Machine or Asset.- If Machine is selected: Machine dropdown appears.
- If Asset is selected: Asset dropdown appears.

Step 2: Search or Clearβ
- Search β Fetches results based on selected filters.
- Clear β Resets all fields to default.
Step 3: View Resultsβ
Results will include:
- View/Edit β Click to open a specific maintenance entry for editing.
- Maintenance Type
- Machine Type
- Machine
- Category / Sub Category Type
- Asset
- Maintenance Date
- You can use a single filter or combine multiple filters for precise results.
- A search field above the table allows for quick keyword filtering.
- Click 'Export as Excel' to download the report.
1.3 Edit Maintenance Entryβ
Edit a Maintenance Entry β Step-by-Step
Step 1: Access the Edit Pageβ
Click "View/Edit" next to the maintenance entry you want to modify.
Step 2: Update Detailsβ
Update editable fields such as:
- Remarks
- Spares Notes
- File Uploads
Key Restrictions While Editing:
- Maintenance Question Type, Maintenance Type, and Machine/Asset fields are read-only.
- Maintenance Check Sheet Result Table values cannot be modified.
Step 3: Save or Cancelβ
- Submit β Applies and saves changes.
- Cancel β Discards changes and returns to the search screen.
