Attendance Master
The Attendance Master screen lets you look up a single employee's day-wise attendance for a date range and correct individual entries (punch times, day status and approval) directly in the results grid.
1.1 Reach the Attendance Master Screen
From the main side menu, click on "HR & Administration", then go to "Operations", and finally choose "Attendance Master". This opens the Employee Attendance Master screen.
1.2 Search Attendance Records
Step 1: Fill in the Search Filters
- Employee [Dropdown][Mandatory]: A single-select, searchable dropdown. Each option is listed as
<Punch Card ID> - <First Name> <Last Name>. An employee must be selected before you can search. - From Date [Date Field][Mandatory]: Defaults to the first day of the current month.
- To Date [Date Field][Mandatory]: Defaults to today's date. It cannot be earlier than From Date, and the gap between From Date and To Date cannot exceed one month.
- If To Date is before From Date, the error "The To date cannot be before the From date." is shown below the To Date field.
- If the range spans more than one month, the error "Dates cannot span more than 1 months." is shown below the To Date field.
Step 2: Search or Clear
- Search: Enabled only once an employee is selected and the date range is valid. Fetches that employee's attendance entries for the selected date range, sorted by date.
- If no attendance entries exist for the employee in that range, an info message "No attendance records found for the given employee" is shown and the table is not displayed.
- Clear: Resets the Employee, From Date and To Date fields and clears the results.
1.3 Attendance Records Table
Once a search returns results, the Attendance Records table appears (click its header bar to collapse/expand the section). It has the following columns:
| Column | Description |
|---|---|
| S.No | Row number. |
| Edit | Click the eye/pencil button to switch that row into edit mode. Only one row can be edited at a time — opening Edit on another row automatically closes editing on the previously opened row (without saving it). |
| Employee Code | The employee's code. |
| Employee Name | The employee's name. |
| Date | The attendance date for the row, shown as dd-mm-yyyy. |
| First Punch | The employee's in-time. Shown as a time value; editable only while the row is in edit mode. |
| Last Punch | The employee's out-time. Shown as a time value; editable only while the row is in edit mode. |
| Time Diff | Auto-calculated as the difference between First Punch and Last Punch, shown as <hours>h <minutes>m. It recalculates immediately whenever First Punch or Last Punch is changed while editing. |
| Day Status | A badge showing Present, Half Day or Absent, derived from Time Diff against the organization's configured attendance timing thresholds (minimum/maximum hours for a half day and a full day) — the same organization-based configuration used on the Attendance Upload screen. |
| Status | Shown as an Approved / Not Approved badge normally. While the row is in edit mode, it becomes a dropdown so you can change it between Approved and Not Approved. |
| Submit | Saves the row. Enabled only while the row is in edit mode and its punch times are valid. See 1.4 Editing and Submitting an Entry. |
1.4 Editing and Submitting an Entry
Step 1: Click the Edit (eye/pencil) button on the row you want to correct.
Step 2: Adjust First Punch and/or Last Punch. Time Diff and Day Status update automatically as you change the times.
Step 3: Change Status to Approved or Not Approved using the dropdown that appears in edit mode.
Step 4: Click Submit.
- If Status is Not Approved, a confirmation prompt appears: "This record is Not Approved. Do you want to proceed and save as Not Approved?" — confirm to proceed, or cancel to keep editing.
- If Status is Approved, the row is saved immediately without a prompt.
- On success, a "Employee attendance updated successfully" toast is shown, the row exits edit mode, and the row is highlighted green to mark it as an updated entry. Once at least one row has been updated this way, a note "Text colors marked are updated entry." appears below the table.
- If saving fails, an "Error while updating employee attendance" toast is shown and the row stays in edit mode.
1.5 Total Working Days
Once a search returns results, a Total Working Day(s) label appears next to the Search/Clear buttons, showing the sum of Day Status values (Present = 1, Half Day = 0.5) across all rows currently marked Approved:
- "No Working Days" — when the total is 0.
- "Total Working Day: 1" — when the total is exactly 1.
- "Total Working Days: N" — for any other total N.
This total recalculates automatically after every successful Submit, so approving or un-approving a row updates it immediately.
