Profitability Reports

This module generates the Profitability Dashboard, which shows how profitable your parts and customers are. It offers four reports grouped into two families:

  • Sales-based (what you actually earned from invoices in a period): Part-Wise Sales Profitability and Customer-Wise Sales Profitability.
  • Catalog-margin (the built-in margin on the current price list, regardless of sales): Part Profitability and Customer-Wise Parts Profitability.

1. Generate Profitability Reportsโ€‹

Step-by-Step User Guideโ€‹


1.1 Access the Profitability Report Sectionโ€‹

  1. Open the main menu
  2. Navigate to Management (or the Dashboard menu)
  3. Click Reports
  4. Select Info Graphics โ€“ Profitability Dashboard
  5. Use the ribbon tabs to switch between the four reports

Access to these reports is controlled by the PROFITABILITY_DASHBOARD permission. If you cannot see the report, contact your administrator.


1.2 Understanding the Search Fieldsโ€‹

All fields marked with (*) are mandatory.

FieldDescription
Date RangeThe reporting period, filtered by Invoice Date. Used only by the two Sales reports. The two catalog-margin reports ignore it.
PartChoose one or more parts, or leave blank for ALL.
CustomerChoose one or more customers, or leave blank for ALL (used by the two Customer reports).
UnitMagnitude unit for large numbers. Defaults to 1,00,000 (Lakhs) so charts stay readable.

Sales reports answer "how much did we actually earn?" over a date range. Catalog-margin reports answer "how much margin is built into our price list right now?" and are not affected by the date range.


1.3 Field Validationsโ€‹

  • For Sales reports, only invoices whose date falls inside the Date Range are counted.
  • Part and Customer default to ALL when left blank.
  • Unit defaults to 1,00,000 (Lakhs) if not provided or invalid; all money values are divided by this figure.
  • If nothing matches the filters, the system displays No Data Available.

1.4 Generate the Reportโ€‹

  1. Select the required filters
  2. Choose a report from the navigation ribbon
  3. Charts and summary cards update automatically
  4. Hover on charts to view specific data points
  5. Click Clear to reset filters

1.5 No Data Found Messageโ€‹

If no data matches the selected filters:

No Data Available

Recommended actions:

  • For Sales reports, verify the date range contains invoices for the selected part/customer.
  • For Catalog-margin reports, ensure the parts have an active Selling Price (Price Master) and, for the customer view, a Part โ†” Customer mapping.
  • Remember that tool line items are excluded from the Sales reports.

2. Common Rulesโ€‹


2.1 Currency Conversion to INRโ€‹

  • All values are converted to INR using the Currency Exchange Rate master.
  • The rate applied is the one currently in effect (valid as of today's date). If no active rate exists for a currency, a rate of 1 is used.
  • Because the current rate is used, historical values are expressed at today's exchange rate.

2.2 Part Cost (Spending Value)โ€‹

  • Each part's cost is taken from its Other Charges (partothercharges), summed per part.
  • In Sales reports this cost is treated as a cost per piece and multiplied by the invoiced quantity.
  • In Catalog-margin reports it is subtracted once, as the cost of a single piece against its selling price.

2.3 Selling Price Sourceโ€‹

  • Sales reports use the actual price charged on the Purchase Order line behind each invoice.
  • Catalog-margin reports use the current Selling Price from the Price Master (partprice, category PROD), always taking the latest active price (non-expiring prices are preferred, otherwise the most recent effective date).

2.4 Tool Exclusion & Unit Scalingโ€‹

  • Sales reports exclude line items whose part type is TOOL.
  • All financial figures (Sales, Cost, Profit) are divided by the selected Unit (default Lakhs) for readability.

3. Report Types & Formulasโ€‹

Family: Sales-based ยท Grouped by: Part ยท Uses Date Range: Yes

Purpose: Profit earned for each part from its invoiced sales in the selected period. Sorted from most to least profitable.

  • Invoice Qty = Sum of invoiced quantity.
  • Sales Value = Sum of (PO Line Price ร— Invoiced Qty ร— Exchange Rate), in INR.
  • Spend for Invoice = Invoice Qty ร— per-piece part cost.
  • Profit = Sales Value โˆ’ (Invoice Qty ร— per-piece cost).

4. How to Interpret the Resultsโ€‹

Low / negative Sales profitCost is close to or above the price charged; review pricing or costing.
High Sales Value but low profitHigh turnover, thin margin โ€” volume isn't converting to profit.

Low Catalog Profit %List price is barely above cost โ€” a pricing risk even before discounts.
Sales profit low but Catalog % highThe part should be profitable; check discounts, exchange rate, or actual PO prices.

5. Final Notesโ€‹

If figures look unexpected, always verify:

  • Which family of report you are on โ€” Sales reports change with the Date Range; Catalog-margin reports do not.
  • Whether a specific Part or Customer was selected, or the view is aggregated across ALL.
  • That parts have an up-to-date cost (Other Charges), an active Selling Price, and an active Currency Exchange Rate.

All Profitability Reports are currency-normalised to INR and unit-scaled for readability. The Sales reports are additionally tool-aware (tooling line items excluded) and based on actual invoiced sales.
