Bulk Upload

note

To go back to the Search screen, click Bulk Upload next to Welcome at the top-right corner of the page.

The Bulk Upload screen helps you upload multiple master records at once by using the system-generated Excel template.

1.1 Reach the Bulk Upload Screen

From the main side menu, click on "Calibration", then go to "Master", and finally choose "Bulk Upload". This will open the Bulk Upload screen.

1.2 Screen Overview

Type

The Type field is a mandatory, searchable dropdown. On the Calibration → Master → Bulk Upload screen, it includes only the following four template types (the option names come from the BULK_UPLOADS category values):

  • Calibration
  • Instrument / Gauge
  • Instrument / Gauge Details
  • Calibration Details

Download Template

After selecting a type, click Download Template to get the latest Excel file for that upload type. The button is disabled until a Type is selected.

Upload Area

The upload box shows the text Click to upload or drag and drop XLSX file (Max. 3MB). Click inside the upload box or drag and drop the completed .xlsx file. Only Excel (.xlsx) files up to 3MB are allowed. After a file is selected, its name is shown inside the upload box.

  • If the file is larger than 3MB, the message File size limited to 3MB is shown and Validate & Upload stays disabled.
  • If the file is not an .xlsx file, the message Invalid File Type. Your file was not submitted. is shown (or, when dragging and dropping, the alert Only XLSX files are allowed.).

Validate & Upload

Click Validate & Upload to validate the file and upload the records into the system. The button is enabled only when a Type is selected and a valid file is chosen; otherwise hovering over it shows Please upload file and select the type.

Clear

Click Clear to remove the selected file, reset the selected Type and restart the upload process.

note

The Download Template and Validate & Upload buttons are shown only to users who have create access to Bulk Upload.

note

The Bulk Upload screen is shared across several modules and also supports a Control Plan dropdown (required when the selected Type is the Control Plan bulk upload template) and an Openstock Date field (required when uploading Store's Opening Stock, or when the selected Type is the Stock Ledger Snapshot template). Neither field ever appears on Calibration > Master > Bulk Upload, since its Type list only offers Calibration, Instrument / Gauge, Instrument / Gauge Details and Calibration Details.

1.3 Bulk Upload - Step-by-Step

Step 1: Select the Upload Type

Choose the required upload type from the Type dropdown. If needed, use the search box inside the dropdown to quickly find the required option.

Step 2: Download the Template

Click Download Template and save the Excel file to your computer.

Step 3: Update the Template

Open the downloaded file and enter the required data in the provided columns.

  • Fill all mandatory fields.
  • Do not change the column headers or template structure.
  • Remove blank rows before saving the file.

Step 4: Upload the File

Drag and drop the completed file into the upload area, or click the upload area and browse for the file.

Step 5: Validate and Upload

Click Validate & Upload.

  • If validation fails, an error sheet named ErrorSheet-<number>.xlsx is downloaded automatically, the message [Type] Bulk Upload Process Reverted is shown, and the note Please update and re-upload the template before upload appears below the upload box. No records from the file are saved.
  • Correct the data in the Excel file (using the errors listed in the error sheet) and upload it again.
  • If validation succeeds, the message [Type] Bulk Upload successfully uploaded is shown and the screen is cleared.

Step 6: Clear if Required

Use Clear if you want to remove the selected file and upload a different file.

note
  • Always use the downloaded template for the selected type.
  • Only .xlsx files are supported.
  • Maximum allowed file size is 3MB.
  • Upload clean data without duplicates to avoid validation errors.
  • If a required value is missing from a dropdown, update the related master setup first and then retry the upload.
